USER GUIDE – RPM’s Online Reportable Events Notification

As per RPM’s Hotline & Non-Retaliation and Reportable Event’s Policy, all Reportable Events should be notified to RPM within 24 hours of any employee’s discovery of the Reportable Event. 

PLEASE NOTE that additional reporting requirements apply for Data Breaches which require immediate reporting to RPM – Reporting Instructions for Data Breaches can be found at: RPM Data Breach Response Instructions.

The online form has the same information requirements previously provided as the version in the Reportable Events Policy.  The webpage for the online form is: RPM Reportable Events Form.

As of 1st January 2020, Reportable Event notifications to RPM must be made through the online form.

COMPLETING THE ONLINE FORM

Please complete your details in the first box for contact details

Complete the Company and Location details, drop down boxes are provided for all RPM Companies, Company Countries and Company Group.  Should you need any guidance on which Group your Company reports through please contact your local Counsel or RPM’s Compliance Team for guidance.

Please provide an issue type for the Reportable Event from the listing in the Dropdown box.

Up to three issue types per Reportable Event can be chosen as needed, to add an issue select the ‘add issue’ button at the bottom right hand corner of the box.

In the Summary section, please provide the details of the Reportable Event and the date of the Reportable Event.  If there is no loss amount, please just keep blank.

If you have already reported the event previously to a member of RPM HQ, please select yes and complete the date reported and to whom in the boxes that will drop down.

Should you have any supporting documents for the Reportable Event please attach in the File Upload section of the form.

Once all details are completed – instructions are provided on how to access the ‘Follow-Up’ Functionality of the Report – PLEASE NOTE: it is important that you note the 12 digit “report key” to access follow up capabilities.  Once all details are completed select “Submit”.

After submitting you will be provided confirmation and your Report Key – please ensure you note your Report Key.

 FOLLOW-UP FUNCTIONALITY

 Should you have any additional follow-up requirements for the Reportable Event, either additional information or supporting documentation requested, these can be added to the Reportable Event notification through the follow-up functionality. This is accessed through the same URL: Reportable Event Form.

Please select the Follow Up tab at the top of the page highlighted below

In the follow-up page please enter the 12-digit Report Key provided when you submitted the initial report and select submit.

This will take you into a new web page where you will be able to see comments/questions that may have been asked by RPM. If questions and comments have been posted you will receive an email advising you of these.

You can also add Follow Up notes on the Reportable Event.

And upload files.

Report details and printing a copy of your submitted report are also available in the follow-up functionality. If you have any concerns or issues when submitting a Report please contact a member of the RPM Compliance Team by emailing compliance@rpminc.com.
